A Planner's Checklist for Booking Event Entertainment

Booking entertainment is one of the last things on a long event to-do list, and one of the easiest to get wrong. This checklist walks you through booking live music for a corporate event or any other corporate entertainment in Indianapolis, Carmel, or Fishers, from the first call to the morning of the event.

As a working duo out of Carmel, we’ve been on the other side of a lot of booking conversations, and the events that run smoothly are the ones where the details were settled early and put in writing.

Before You Start Calling Indianapolis Entertainers

Have these answers ready before you contact anyone. You’ll get faster, more accurate quotes.

  • Date and start time, plus a backup date if you have flexibility.
  • Venue or town. Even a general location helps with travel and setup.
  • Approximate guest count.
  • The kind of event. Holiday party, client dinner, awards night, picnic, networking event.
  • How long you’d like entertainment. For most corporate events, two or three hours is about right.
  • The feel you want. Background music for conversation, or a dance floor?
  • Your entertainment budget, even a rough one.

If the evening is about conversation, an acoustic act is usually the better fit. If it’s about dancing, a DJ or full band is built for that.

Questions to Ask Any Performer in Carmel or Indianapolis

  • Can I see verified reviews? Google reviews from real clients are the best signal.
  • Can I hear you? Videos or recordings, ideally of live performances.
  • Do you bring your own sound equipment? PA, microphones, cables.
  • How much space and power do you need?
  • How early do you arrive, and how long does setup take?
  • Do you play indoors and outdoors? What’s your weather plan?
  • What does your song list look like? Is it broad enough for your crowd?
  • Can you learn a specific song? Useful for a moment in your program.
  • What happens if you’re sick or there’s an emergency?
  • How quickly do you respond? Their reply time now is a preview of the event.

For the record, here’s how we’d answer: the sound system comes with us, a spot about eight feet square near an outlet is enough, we’re on site an hour before start time, we play inside and out (with shade when it’s hot), and we’ve never missed a performance. Our song list answers the repertoire question.

What to Put in the Performance Agreement

A booking contract doesn’t need to be long. It needs to be clear. Make sure it covers:

  • the date, start time, and end time
  • the venue name and address
  • the length of the performance and the number of sets
  • arrival and setup time
  • payment amount, deposit, and when the balance is due
  • what happens if either side has to cancel
  • anything special, like a song to learn or a short announcement to make

Every booking with us comes with a short written agreement along these lines, so there are no surprises on the day.

Venue Details to Confirm in Fishers, Westfield, or Noblesville

The venue is where most day-of problems start, so settle these with both the venue and the performer:

  • Where will the entertainment set up? A specific spot, not “somewhere in the corner.”
  • Is there power within reach? If not, plan an extension cord or move the setup.
  • When can the performer load in? Some venues limit early access.
  • Parking and load-in. Where can they unload equipment?
  • Volume rules. Does the venue have limits, especially outdoors or in shared spaces?
  • Weather backup. For outdoor events, where does everything move if it rains?

The Week-Of Checklist for Your Indianapolis Event

  • Confirm arrival time, setup location, and the run of the evening with your performer.
  • Share a day-of contact name and phone number.
  • Send parking and load-in instructions.
  • Confirm any special moments: a toast, an award, a song request.
  • Check the weather and confirm the backup plan for outdoor events.
  • Confirm final payment details.

On the Day

  • Have someone meet the performer when they arrive.
  • Give a quick walk-through of the schedule, including when dinner starts and when speeches happen.
  • Let them know who to check with if anything needs adjusting, like the volume during dinner.
  • Point them to a place to keep empty cases and grab water during breaks.

A good performer will read the room on their own, but a two-minute conversation at setup makes the night smoother for everyone.

After the Event

  • Settle any remaining payment as agreed.
  • Leave a review if you were happy. It helps the next planner.
  • Send a quick thank-you if the performer made your night easier. It’s remembered.
  • Make a note of what worked for next year.
